Overview/Program Description:

Using a web server, eCommerce and SQL databases that interface with the court's case management system, the court allows customers to order court case documents. A customer enters a case number and the program displays a register entry for each document on the case and each hearing that has minutes. The customer then indicates documents and/or minute orders they wish to purchase. The program calculates the cost plus postage. If the customer selects e-mail delivery, postage is not charged. After customers complete the payment process by credit card, they are given a receipt that contains the order number and a confirmation e-mail that lists the documents ordered. The system sends the order to the Court Records Division which fulfills the order either on paper or via email based on the customer's request. Statistics are available for accounting information and order processing information. The system also has a government login capability where the order is fulfilled without charge for qualifying government agencies.

Program Benefits/Savings:

The program has been very successful in reducing the number of requests presented at the clerk's window. It has also centralized the records processing within the Court Records Division, rather than having many court work units processing these requests. The public receives better customer service by being able to use a web-based records request system.

Centralization of the process has increased the efficiency and accuracy of the records process. An additional benefit is that since we provide government agencies a method to order certified copies through the system, we came to an agreement that if an agency needs "emergency" certified copies and requests them at a clerk's window, we charge for the certified copies. This change has reduced many unnecessary in-person requests for free copies and certifications.
